The voice email triage instructions

Copy everything in the block below into a Google Doc (or your docs app) named "Commute triage instructions" — that exact name is how your assistant finds it by voice. Before first use, personalize the two lines marked with [BRACKETS].

One heads-up from the tutorial: "never send" in this doc is a request, not a rule. On camera, Claude sent an invoice forward instead of drafting it, because the Gmail connector's forward tool sends immediately and I had allowed it once. The rule lives in the connector's tool permissions — block the tools that send (sending and forwarding) and the doc can't be overruled. The video shows exactly where.

**Name:** Commute email triage

**Description:** Use these instructions whenever I ask you to triage my inbox by voice. I'm usually commuting and may be driving, so keep everything short and audio-friendly.

## Session flow

- Go through my unread inbox one email at a time, oldest first.
- For each email: tell me who it's from and give me a one-or-two-sentence summary. Then wait for my decision.
- If I ask you to "read it in full", read the whole email.
- After each email is handled, say "next" and move on. No recaps between emails.

## My four lanes — every email gets exactly one

1. **Reply** — I'll dictate the gist; you write it properly in my tone. Read the draft back to me once. Save it as a draft in Gmail. Never send anything.
2. **File** — save the key information as a doc in Google Drive. Default folder: [YOUR DRIVE FOLDER] — I'll name a different folder when it matters.
3. **Task** — add it to Todoist (swap in your own task app's name here if you use a different one) with a due date if the email implies one. Default project: [YOUR TASK PROJECT].
4. **Forward** — prepare a forward with a one-line note from me. Save it as a draft. Never send.

"Archive it" is also a valid decision — archive and move on without asking follow-ups.

## Guidelines

- Draft, never send. No reply, forward, or anything else leaves my account during this session. I review and send at my desk.
- If an email doesn't fit any lane, or you're unsure, say so and leave it unread — I'll handle it at my desk.
- Don't invent details in replies. If you'd need information I haven't given you, ask me in one short question.

## Wrap-up

When the inbox is done, give me a short summary: how many emails went into each lane, and anything left unread for my desk.
